How best to amend an agency agreement via the workspace

The agency agreement in Vendorable cannot be changed. This is to preserve the audit trail on what was submitted during the tender phase and what was agreed to, at the time of appointment by the vendor.

However, you can amend an agency agreement, per the terms of service, by mutual written agreement.

The way to do this is as follows:

  1. Navigate to the relevant workspace
    You do this by clicking Work up the top of the app and then clicking on the relevant file. This will take you to the workspace

  2. Prepare a letter outlining the changes requested
    We recommend preparing a letter outlining the changes requested. It should highlight both what was in the original agreement and now what you wish it to be.

  3. Execute the letter
    In order to have it executed properly you need to put your name, sign and date the letter. And you need to have the same space for the vendor to do so.

  4. Send the letter to the vendor
    You can send the letter in the platform to the vendor for them to sign and date via the message space. It is the paperclip inside the Message box. You can find out more about how to do that here.

  5. Ensure you get a signed response
    You must have mutual written agreement for the change to be valid. This means the vendor needs to name, date and sign the letter and also attach it back to you in the workspace so that it is on file. Once this is done and in place, the agreement is validly changed.
